Class Instrumentation Ltd (“we”, “us”, “our”) is committed to protecting your personal data. This policy explains what personal data we collect when you visit our website, contact us or buy equipment from us, how we use it, who we share it with and what your rights are.
1. Who we are
Class Instrumentation Ltd is the data controller for the personal data described in this policy. We are a company registered in England and Wales (company number 03252796). Our registered office is 837 Garratt Lane, London, SW17 0PG, United Kingdom.
If you have any questions about this policy or how we handle your data, email us at info@classltd.com or call 020 8333 2288.
2. The personal data we collect
Information you give us
- Contact and business details: your name, job title, company name, email address, telephone number, and billing and delivery addresses.
- Order details: the equipment you buy, delivery preferences, and the details needed for invoices, customs and export paperwork.
- Correspondence: the content of emails, contact or quote forms and phone calls, including technical support, warranty and calibration requests.
- Newsletter sign-ups: your email address (and name, if you give it) if you sign up to receive email updates from us.
Information collected automatically
- Essential cookies: small files needed for the website to work properly and securely, and to remember your cookie choices.
- Analytics (only with your consent): if you accept analytics cookies, we use Google Analytics to understand how visitors use our site, such as the pages visited, how you arrived at the site, your browser and device type, and your approximate location (country or city). Google Analytics 4 does not log or store IP addresses.
We do not collect or store your card or bank details. These are entered directly with our payment providers (see section 4).
3. How we use your data and our lawful basis
We only use your personal data where the law allows us to. We rely on the following lawful bases:
- To perform a contract with you: processing quotes and orders, taking payment, arranging delivery, and providing warranty, repair, calibration and technical support.
- To meet our legal obligations: keeping accounting and tax records, completing customs and export documentation, and complying with export control, sanctions and anti-money laundering rules.
- For our legitimate interests: responding to enquiries, managing our relationships with business customers, improving our products and services, and keeping our website and systems secure. We only rely on this where our interests are not outweighed by your rights.
- With your consent: sending you our email updates, if you have signed up to receive them, and setting analytics cookies on your device. You can withdraw your consent at any time (see sections 7 and 9).
Email updates: if you sign up to our newsletter, we will send you occasional emails about our products, services and company news. We only send these if you have ticked the box to agree. You can unsubscribe at any time using the link in any of our emails, or by emailing info@classltd.com.
We do not use your data for automated decision-making or profiling that has a legal or similarly significant effect on you.
4. Who we share your data with
We only share your data where we need to, with:
- Payment providers: Stripe and PayPal process payments made through our website. They collect your payment details directly and handle them under their own privacy policies.
- Couriers and freight carriers: international carriers such as DHL, FedEx and UPS, to deliver your equipment and clear customs.
- Service providers who support our business: our website host, email and office software provider (Microsoft 365), Google (for website analytics, where you have consented), and our IT, accounting and professional advisers. They act on our instructions and must keep your data secure.
- Authorities: HMRC, customs agencies, regulators or law enforcement bodies, where we are legally required to.
We do not sell, rent or trade your personal data.
5. International transfers
Because we sell worldwide and some of our service providers are based abroad (including in the United States), your data may be transferred outside the UK. Where a country does not have UK “adequacy” status, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK–US Data Bridge. You can contact us for more information about these safeguards.
Where your data has to be sent to a carrier or customs authority in your own country to deliver your order, this transfer is necessary to perform our contract with you.
6. How long we keep your data
- Order, invoice and export records: six years from the end of the financial year in which the transaction took place, as required for tax and export purposes, or longer if your equipment is still under warranty.
- Enquiries that don’t lead to an order: up to two years, so we can follow up on quotes and answer related questions.
- Newsletter subscribers: until you unsubscribe. After that, we keep your email address on a suppression list only so that we do not contact you again.
- Analytics data: held by Google Analytics for up to 14 months.
After this, we securely delete or anonymise your data.
7. Cookies
When you first visit our website, a cookie banner asks whether you accept analytics cookies. Analytics cookies are not set unless you click “Accept”. You can change your choice at any time using the “Manage consent” link at the bottom of every page.
For full details of the cookies we use, please see our Cookie Policy.
8. Keeping your data secure
We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. Our website is served over an encrypted (HTTPS) connection, and access to customer data is limited to people who need it to do their jobs.
9. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you.
- Correct data that is inaccurate or incomplete.
- Erase your data, where we no longer have a legal reason to keep it (for example, we must keep some order records for tax and export purposes).
- Restrict how we use your data in certain circumstances.
- Object to us using your data based on our legitimate interests.
- Data portability: receive data you gave us in a commonly used format, or have it sent to another organisation.
- Withdraw consent at any time, where we rely on consent (for example, email updates or analytics cookies). This does not affect anything we did before you withdrew it.
If you are based outside the UK, you may have similar rights under your local law. To use any of these rights, email info@classltd.com. We will respond within one month and there is normally no charge.
10. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
